# Accessing Captionizer

You can access the agents of *Captionizer for Confluence* by clicking the ![logo rovo](https://docs.appfox.io/__attachments/a_b625c0da59f312fdb296ddba560a76b1360fb040768125cead5dd8f22f682aba/atlassian-logo_rovo?cb=3127271216a1abefac6ae8bc976593a5) **Chat** button in the top right of the Confluence navigation bar, as shown below.  
**Important:** You *must* be using a Confluence instance that has a Rovo license. Otherwise, you will be unable to use the agents available in *Captionizer for Confluence*.

Once the Rovo Chat panel has opened, you will want to click the ![logo rovo](https://docs.appfox.io/__attachments/a_b625c0da59f312fdb296ddba560a76b1360fb040768125cead5dd8f22f682aba/atlassian-logo_rovo?cb=3127271216a1abefac6ae8bc976593a5) **Chat** *drop-down* button, and then click the **Browse agents** button in the drop down.

You should now see a dialog which displays all of the agents that you have available to you. Search for the following agent:

# Using Captionizer

## Overview

Images are a crucial part of Confluence documentation, but without proper captions, their meaning can be unclear. The **Captionizer Agent** automates the captioning process, helping users generate clear, contextual descriptions that improve comprehension and usability. By analyzing the content of an image and its surrounding text, Captionizer suggests relevant captions that enhance the reader's understanding while ensuring consistency across documents.

## Key Features

**Important:** Captionizer will only be able to make updates to pages if you, as the user, have the correct permissions to make edits to the current page that you are on.

* **Automated Caption Generation** -- Suggests contextual and descriptive captions based on image content.

* **Customizable Captions** -- Users can refine or adjust captions before applying them.

* **Seamless Integration** -- Works within Confluence to directly update image captions.

* **Credit System** - Each user will gain 100 credits per month to caption images, which refresh monthly. See more information [here](https://docs.appfox.io/confluence-captionizer/credit-system.md).

## Start a Chat

1. Click **Chat** on the top right of the Confluence navigation bar, and the chat window will open. Then select the **Captionizer** agent.

2. Some prompts will be suggested for you to use to get started.

3. Enter your prompt and hit *Enter* , or click the *Submit* button in the text field that contains your prompt.

## Optimizing Captionizer

Captionizer has a limit on how many images it can caption in one go. If you need to caption multiple images at once, we recommend you try captioning a maximum of 6 images. You can say to Captionizer:

*"Caption the first, second, third, fourth, fifth and sixth image"*

## Example Prompts

*"Caption the images on this page"*

*"Caption the first image"*

*"Caption the first and third image on this page"*

*"How many credits do I have left?"*

# Credit System

## Overview

*Captionizer for Confluence*is completely free! However, it does employ a credits system that limits each user to obtain 100 captions per month. This is handled with credits.

Each month, with regards to when *you* first used *Captionizer for Confluence*, your credits will refresh and you will get 100 credits again to use up for the next month.

## How Can I View my Credits Information?

You can ask *Captionizer for Confluence* how many credits you have left remaining or how many credits you have used by asking it the following:

*"How many credits do I have left?" -*It's as simple as that!

## Frequently Answered Questions

How do I install Captionizer?  
You can install Captionizer by following the instructions outlined in the [Installing Captionizer](https://docs.appfox.io/confluence-captionizer/installing-captionizer.md)section. Make sure you also have a license for Rovo!
Why is Captionizer not finding any images on a page?  
Sometimes the agent needs the page to be refreshed, or you might need to open a new chat for Captionizer to see the new changes on a page.
Why does Captionizer say there was an error when captioning my images?  
Captionizer has a limit on how many images it can caption in one go, make sure you are only trying to caption a maximum of 6 images at a time. This will provide optimum results and provide quicker responses.

## Introduction to Captionizer for Confluence

Captionizer is an AI powered image analysis tool, built on top of Rovo. It uses the power of the latest large language models to understand the images on your Confluence page, and generate captions for them. Whether it is a photo, a diagram or an illustration, Captionizer will write the captions for you, automatically improving the accessibility and usefulness of your Confluence pages.

Use Captionizer to make your diagrams and images more accessible to screen readers, or to break down complex architectural diagrams. Or, simply use it to have fun!

## Installing Captionizer

The first step is to ensure *Captionizer for Confluence* is installed. We've created this [useful guide](https://docs.appfox.io/confluence-captionizer/installing-captionizer.md) that will walk you through the installation process from start to finish.  
Captionizer is a Rovo agent! You must have Rovo installed to access Captionizer. You can install the app without it, but you will not be able to generate captions.

# Installing Captionizer

You can install *Captionizer for Confluence* in two ways; through the **Atlassian Marketplace** *(option 1)* or within Confluence using the **Universal Plugin Manager** *(option 2).*  
**Important:** Both methods will require administrator permissions to install *Captionizer for Confluence*on your Confluence instance.

## Option 1 - Atlassian Marketplace

Ensure that you are logged in to your Atlassian account, and then access the \<Captionizer for Confluence Cloud product listing\> on the Atlassian Marketplace and click **Try it for free**.

Next, select the Atlassian site that you would like to install the app into. Once you are happy, proceed with the installation. When it has completed, you will be able to access the *Captionizer for Confluence* agents by clicking the **Chat** button in the top right of the Confluence navigation bar.

## Option 2 - Universal Plugin Manager

Alternatively, you can use the Universal Plugin Manager (UPM) to install *Captionizer for Confluence*on your Confluence instance.

Start by accessing the **Apps** drop-down menu in Confluence and select **Find more apps**. Search for "Captionizer for Confluence" and navigate to this product once it displays in the search result.

# Request an approval on an item

Teams often have a regular group of approvers for reviewing and approving items. But when there's a lot to approve, it can be overwhelming. Keeping the process simple is key to avoiding delays. With Approvals, everything is streamlined. Reviewers can approve items and give feedback all in one place.

Adding Approvals for [monday.com](http://monday.com/) to your items is straightforward. Once the app is installed, simply access it by clicking on any item on your Monday board.

In this guide, we'll demonstrate how to approve an item and how to provide feedback.

## Approving an item

If you have received a notification regarding approval, you can click on the item in the notification to be guided to the approval round. Alternatively, you can click on the item and navigate to **'Approvals',** where you will see the approval with your name under the**approver's section (A).**

Depending on your approval outcome, you can approve the item by clicking the tick or cross icon under the **status section (B)**

You'll see the status is still shown as**pending review (C)** and the comment section has opened below. Before the status changes, add approval feedback in the comment section. Then, click **save (D)**to update the approval status to show as approved.

# Approval Teams

Approval teams can be essential for any approval process, as they ensure that all the necessary stakeholders are gathered in one place for efficient review and approval.

Approval processes in many companies often require collaboration across various departments. For instance, an events proposal might need a budget sign-off from the finance department before proceeding with planning. This might entail creating approval processes via email involving different individuals in that department. However, this approach can be time-consuming due to lengthy email chains and potential delays.

With Approvals for [monday.com](http://monday.com/), you can seamlessly apply approval teams created within [monday.com](http://monday.com/) directly within the approval setup process.

This guide will show you how to create teams in monday.com and apply them to our app.

## Creating approval team

To create a team on Monday.com, navigate to your profile on your Monday board and, once opened, select the**team's option (A).**

This will open, showing all the team members on your Monday board. To start the process, select the **new teams (B)** option on the left-hand side of the window display.

The window for configuration will open, and you can rename the title and add team members. Once you have created your team, click "Create" to save**(C).**

Your new team will be added on the left-hand side of the team's window display **(D)**.

## Adding your team to a single approval round

Once you have created your approval teams on [monday.com](http://monday.com/), you can add them to a single or multi-stage approval process within Approvals for [monday.com](http://monday.com/).

We will add an approval team to a single-stage approval round for this guide.

Start by guiding to the Approvals app in any item on your [monday.com](http://monday.com/) board**.** Once Approvals is opened, add your first approval round by selecting the **add new round (E)** option, as illustrated in the screenshot below.

You can customize the approval by renaming the approval title to be more specific to your review process. You can start adding your approvers and approval teams at this stage by navigating to the **add approver field (F)**.

A drop-down list will appear, displaying all the members and teams on your Monday board. You can scroll to select your team from the list or filter the search by typing your team's name **(G)**.

Once you have selected your team, it will show under the approval round **(H).**

# Apply Approval Templates

Submitting an item for review and approval using Approvals for [monday.com](http://monday.com/) is simple and efficient. However, when multiple items require review, opening each item to configure the approval process can become time-consuming.

You can now apply Approval Templates to multiple items at the click of a button, saving you a ton of time without needing to go into each item and set up the approvals individually.

This guide will walk you through how to apply Approval Templates to multiple items.

Before we apply approval templates to multiple items from your main board, this feature combines the use of our [approval templates feature](https://docs.appfox.io/approvals-monday-com/create-and-apply-pre-configured-approval-templates.md), where you can add your pre-configured approval templates to the process.

To send multiple items for review from your main Monday board, navigate to the review items and select the **Square checkbox (A)** on the side of each item.

The items selected popup bar will appear on the bottom of the screen, where you will find the **Apps option (B)** within the menu.

Once selected, a pop-up will appear where you can choose the**Apply Approval Templates feature (C).**

This will open all your available **Approval templates (D)**. Next, select the approval template you would like to use for the review item or search for your specific template within the search bar.

***Important:*** *if you have selected any items where an approval is already in progress, you will see an* ***Incompatible item (E)*** *warning message where the bulk add feature cannot be applied.*

Next, select **Apply (F)** to start the approval process, and the display window will transition to a loading screen.

Once the approval templates are added to your selected items, a **Checkmark will appear (G).** Additionally, the approval status of the item on your Monday board will automatically show as **Pending review (H).**

***Important:*** *Once you have selected the apply button to start the button, be sure not to click outside or close the bulk add approval display window until the checkmark has shown.*

If you want to use add Approval Templates to multiple items but do not want to kick off the approval process when a template is added to an item, don't worry. You can do this by deselecting the **Start Approvals (I)**check box before selecting the approval templates to add to multiple items, as shown below.

# Approvals for monday.com: Update to usage model January 2025

We are introducing a significant update to our app, **Approvals for** [**monday.com**](http://monday.com/)**.** These changes are designed to simplify our usage structure and improve accessibility to the app's full suite of powerful features. The updated usage model will be in effect from **January 15, 2025**.

NB:**This change will not affect existing users on the Pro plan,** who are currently paying for Approvals for monday.com, but will mean some changes for Free plan users and new users.

**Overview of the changes**

To enhance accessibility, unlock more functionality for all users and simplify our billing model, we're introducing the following updates:

1. **Approval-based** **usage:** Usage will now be based on how many approval processes you are permitted to apply per month, rather than the number of approvers.

2. **More functionality**: All features will become available across the free tier and all paid subscription tiers. This includes powerful features previously only available to paid users, such as Default Approvals for whenever a new item is added to your board.

3. **Streamlined subscription tiers:**We are simplifying our subscription structure by reducing the paid plans from seven to three, while retaining the free tier. This change aims to provide clearer and simpler usage options to our users.

4. **Updated billing:**The revised model reflects the transition to an approval-based structure that better aligns with the value delivered across all subscription tiers.

**When does the change take effect?**

The new usage model is in effect from the **15th of January 2025.**From this date forward, all previously paid-only features will become available to all users, and the revised structure will apply to all new and Free plan users:

* **New users:**Users who upgrade to a paid subscription plan after the date of the change, will be billed according to the updated usage structure.

* **Free plan users:** Users on the free plan will now have **full access to all approval features**. In the free tier, they will, by default, have access to a maximum allocation of three approval rounds to spend per month, which refreshes monthly.

* **Existing subscription users:** The price of your plan will remain unchanged, and you will effectively transition into the new **Unlimited approval based tier** with all your current benefits intact.

**Why are we making these changes?**

1. **What happens if I exceed the approval limit?**If you exceed the approval limit, it will reset monthly, or you can upgrade your subscription to access a higher approval limit.

2. **What** **happens** **to unused approvals within a given month?**Unused approvals will not carry over to the next month. Your approval limit will reset at the end of each month.

3. **Will I be notified once** **the approval limit** **has been reached?**Yes, you will not be able to create new approvals in the app, and you will be informed that the limit has been reached.

4. **How can I track the approval usage?** There is a new dashboard widget that will tell you how many approvals you have and how many have been used; this will be visible when creating a new approval process.

5. **Can I purchase additional approvals without upgrading my plan?**There is currently no option to purchase additional approvals with your plan. The approval limit will refresh at the end of the month, or you can upgrade your current subscription plan.

## Accessing the Configuration Settings

To access the configuration settings, open any item on your [monday.com](http://monday.com/) board and click the **Approvals** tab.

### Approval columns

The first two options in the configuration settings relate to the **approval columns**that will be displayed on your monday board. These will help you view the approval progress of any item.

To streamline the process, teams can use online tools to manage the quorum size of an approval. This can be achieved by setting the minimum approvals and rejections required for a task sent for review. For example, a proposal budget must be signed off before implementation. The proposal can be sent to all necessary people within the finance department for review while setting the minimum approval threshold. This helps to make the approval process more efficient and less time-consuming.

With Approvals for monday.com, you can easily manage minimum approvals and rejections, keeping workflows efficient and all stakeholders involved.

## Approvals quorum size

To set the minimum number of approvals or rejections required for any item sent for approval on your Monday board, navigate to our app within an item and select the **settings icon (A).**

A dropdown list will appear, highlighting two separate sections to set the **minimum number of approvals and rejections (B)** required for an approval round to be considered approved or rejected.

To change the required approvals or rejections, click on the number field **under each section (C)**. This will display a list of numbers from which you can select the approvals or rejections required for an item to be considered approved or rejected.

Once you have selected your number, it will appear in the settings, and you can change it anytime. In our screenshot example below, we have set the minimum approvals needed to two and rejections to one.

### Minimum approvals required in action

The screenshot below highlights what an approval will display when the minimum approvals have been set to two and one approver has approved the item.

When you have set up your approval and started the process, the approval status will show as **'pending review' (D)**, as no approvers have decided.

Once one reviewer approves an item, the approval status shows as **'in review' (E)**. The approval will not show as approved until it has met the threshold of two.

Alternatively, suppose you have selected the minimum approvals threshold to be one. In that case, the approval status will show as**approved (F)**, as only one reviewer is needed to approve the item before it is considered approved.

## Automations for Default Approvals

Automations are key to enabling Default Approvals, but keep in mind:

* **Automations are only available with Approvals Pro.**

* With the Pro plan, you can set up an unlimited number of automations to suit your needs.

* Automatic approvals cannot be applied to any items that have an existing Approval Process which has been started and received decisions from approvers. This is to ensure an auditable record of all approvals can be maintained.

## How to Configure Default Approvals

Follow these steps to set up a Default Approval process:

### 1. Create an Approval Template

Before you can configure Default Approvals, you'll need an approval template. Here's how:

1. Navigate to the **Approvals for** **monday.com** app within the **Item View**.

2. Select the **Manage Templates** button.

3. Click **Create Template** and customize your approval process.

### 2. Set Up an Automation

Once your template is ready, configure an automation to apply the template or start the process:

1. Open the board where you want to apply the Default Approval.

2. Go to the **Automations Center** and search for "Approvals".

3. Select the desired template automation, such as "When an item is created apply *the approval template*"

4. Customize the automation by selecting:

   * The template to apply.

   * (Optionally) The group you would like to set the default for, if you selected a template with a group filter.

### Scenario 1: Automatic approvals for items moved to an "In review" group

In a typical swim lane style board with groups such as "To do", "In progress", "In review", and "Done" you can set up a Default Approval for the "In review" group to automatically apply and start an approval process for all items in the project.

### Scenario 2: Department-Specific Approvals

Use Default Approvals to assign tailored workflows to items moved to department-specific groups like "Marketing" or "Finance."

### Scenario 3: Column-based Approvals

You can configure a workflow where items created in a board designed for budget approval can have different approval processes applied based on the amount of funding being requested.

Items with a cost column value of under $100 may be subject to a streamlined process which can be signed off by a direct line manager, while greater amounts automatically involve the Accounts team for financial approval

# Create and apply pre-configured Approval templates

In many companies, specific approval groups in different departments review and sign off tasks. When transitioning to online project management tools, replicating these existing approval groups is crucial to align with existing company processes.

With Approval for monday.com, you can create and configure approval templates that streamline the review and approval process, ensuring consistency with existing workflows.

In this guide, we will show you how to create and apply approval templates.

## Creating approval templates

To start creating and customizing an approval template, navigate to Approvals and select the **document icon (A)** next under the adding a new round.

The manage template display window will open, and you will be able to view any existing personal or account templates. Create a new template by selecting **Create Template (B)**. This will open the Approvals display window, where you can start adding your approval rounds and approvals and creating a sequential approval process.

Start the configuration process by renaming the approval template title by clicking in the title field **'new template'** **(C)** .Once you have updated the title, click out of the field, and your changes will automatically be saved.

Now, you can start to add your approval rounds by selecting the **add new round (D)** field**.**

To configure the titles of approval rounds, click on the text within the approval round to edit it. This will allow you to assign specific review names, and the approval title will be updated automatically **(E)**.

Once you have added and configured the approval rounds you need, you can start adding your reviewers or approval teams within the individual rounds. Simply open the approval round and either search for or select the individuals within the **add approver field (F).**

You can define the approval process by ordering your approval rounds to run sequentially. The sequential process is added automatically to each new approval round numbered by the left-hand side panel **(G)**. For instance, the screenshot below shows the approval rounds numbered from 1 to 3 to indicate their order of approval when active.

That's it! Once you have configured your approval template and are ready to proceed, **click save (H)**, and your approval template will be added to the manage templates display window.

### Applying an approval template

Adding a template to an item that needs to be sent for review takes no time and enhances your approval setup process. Begin by opening the item for review and navigating to **apply template (I**). The template pop-up will appear, listing all existing approval templates. You can search for your template either by typing its name or selecting it from the list.

Once the display window is open, navigate to the template for configuration and select the **pen icon (J)** located in the action section. This will open the template window allowing you to begin making your desired modifications.

## Set up the board columns for Approvals

Before you can request an approval of an item using the Approvals for [monday.com](http://monday.com/) app, you will need to [set up the board columns](https://appfox.atlassian.net/wiki/spaces/FOX/pages/749797377/Manage+approval+progress+draft) that the app will use.

We would recommend you use the following columns;

* Approval Status

* Approvers

For the **Approval Status** column, we would also recommend you create 4 statuses;

* Not started

* pending review

* in review

* approved

* rejected

## Request a review and approval on an item

Once your columns are setup, you can now request approval of an item in [monday.com](http://monday.com/).

Follow [this guide](https://appfox.atlassian.net/wiki/spaces/FOX/pages/748879892/Create+a+single-step+approval+process.) to set your first approval round. You will have the option to customize the approval round and select the approvers that you need for the task at hand.

## Additional approval configuration options

You can also configure the approval settings in Approvals for monday.com and determine the minimum number of approvals or rejections required before an item can be marked as **Approved** or **Rejected**. This is particularly useful if your organization has specific policies or procedures relating to the number of people who need to approve an item of work.

# Installation

You will need to install Approvals for monday.com from the [App Marketplace](https://monday.com/marketplace). If you are not familiar with the Marketplace, this is a collection of hundreds of apps that add powerful functionality and features to monday.com. We'd recommend you check it out!

## monday.com**Apps Marketplace**

Once you are within the [monday.com App Marketplace](https://monday.com/marketplace), search for '[Approvals](https://monday.com/marketplace/10000005)' and the app will appear where you can select the **Use App (A)** option shown below**.**  
**Top tip:** If you are an account admin, you can manage the installation of any third-party app within the [Administration](https://support.monday.com/hc/en-us/articles/115005321509-All-things-Admin#:~:text=a%20high%2Dlevel.-,Apps,from%20here%20if%20you%20wish.) section of monday.com under "**Apps**".

You will then be asked to select the monday.com Workspace(s) and Board(s) you would like this app to be installed on.

Once you are happy with your choices, click **Add App (B),** and Approvals for [monday.com](http://monday.com/) will be installed.  
**Important:**Once the app is installed, you will not need to install it again if you wish to use it on a different Workspace or Board.

You will notice the **approval app settings (C)** display will appear after adding the app. This is here for you to configure the app and integrate approval columns to your main board.

Once installed, you can access Approvals by clicking on any item and navigating to **'Approvals' (D)** within the byline of the display window.

# Manage feedback upon approval or rejection

With Approvals for [monday.com](http://monday.com/), you can easily send tasks, items or projects for approval and control at which point the approval team has to provide feedback.

This guide will explain the different feedback options available when configuring your review and approval process on monday.com.

## Configure Approval Comments

You can select when you want your team to leave approval feedback during the review and approval process.

To do this, open any item on your Monday board and navigate to the **Approvals** tab. Next, navigate to the S**ettings (A)** optionas shown below.

The Approval settings will open, and you must scroll down to the **Require comments (B)** option.

There are three options you can select within the required comments field **(C)**, including:

1. **Never -**Approvers don't have the option to leave approval feedback

2. **On rejection -**Approvers can only leave approval feedback when they have rejected an item

3. **Always -**Approvers can leave approval feedback when they have approved or rejected an item

Once you have selected the desired configuration, this change will then be applied to all of your approvals in monday.com.

## Providing Approval Feedback

If you've been asked to approve an item in [monday.com](http://monday.com/) and wish to provide approval feedback, ensure that you make your approval decision before proceeding with leaving feedback.

If your approval process requires you to leave approval feedback upon approval or rejection, first select your **approval decision (D).**

Once you have made your approval decision, the comments section will automatically drop down as shown below **(E)**.

You can leave any approval feedback in the comment section. Once done, click the **save (F)**button to update your approval decision status and save your feedback.

For instance, a marketing agency managing an advertising campaign may adopt a multi-stage approval process. With numerous moving parts within a campaign, integrating existing review workflows becomes crucial to keep tasks moving forward efficiently. While online project management tools can streamline the process, lacking a robust approval process can lead to time-consuming tasks, such as manual review requests via email.

With Approvals for [monday.com](http://monday.com/), you can create and customize multi-stage approval processes tailored to your needs. This empowers you to be certain that tasks sent for review in [monday.com](http://monday.com/) are approved by the right group of individuals.

In this guide, we will walk through adding a three-stage approval process to any task item placed on your Monday board.

## Adding approval rounds

To start the review process, access Approvals for [monday.com](http://monday.com/) within any item on your monday board. Then, add your approval by selecting the **approval round (A)** field. This will automatically place the first approval round with the first **sequential approval process (B)**located on the left-hand side.

Alternatively, you can add a new approval round and sequential process by hovering over the last circle in the left-hand panel of the sequential process, where a plus button will appear **(C)**. Once clicked, a new approval round and sequential process will be added below.

### Customizing the approval title

You will now see the approval rounds will be added to the main Approvals for [monday.com](http://monday.com/) display window, you can see this in the screenshot below.

Now you can start to rename the **Approval title (D)** text 'Approval round 1' to be more specific to your review process, such as 'marketing team review.' To do this simply start typing your text changes by clicking within the approval round title. Once done, your text change will automatically be saved.

### Adding reviewers

To add your reviewers, simply click on **+ add approver,** where a list of approvers will appear.Tonarrow your search, filter your reviewer's name within the **filters section.**

Once you have selected your reviewer, their name will appear in the **approver section (E)** under the approval round.

### Adding approval teams

Alternatively, you have the option to include existing approval teams from [monday.com](http://monday.com/) in the approver's drop list. This streamlined approach will help you save time by adding the appropriate group of people for task reviews, instead of individually selecting each reviewer.

Similar to adding individual reviewers, add approval teams by selecting them within the **add approver section.** Once selected, the approval team will display under your **approval round (F)**

### **Sequential approval process**

Once your rounds have been configured, you can reviewthat they are arranged correctly by viewing the sequential process numbered on the left-hand side panel. This indicates the order of the approval workflow.

If you need to move specific rounds to a new approval sequence, you can do this by clicking on the dotted menu next to the approval title, where you can drag and drop the approval round within the correct approval sequence **(G).**

It's important to note that if you have two or more approval rounds within one sequential process, they will simultaneously be sent for approval.

Alternatively, if you need an additional approval round within one of the approval sequences, hover over the sequential number on the left, and a**plus button** will appear**(H)**. Once clicked, the new approval round will be added to the approval sequence.

Once configured, select the **start button (I)** to start the approval process.

The first approval round will begin, and the reviewers will automatically be notified of their approval request. The sequential approval process eliminates the need for you to manually start the approval rounds to the next stage, streamlining the approval journey.

### Monitoring approval progress

You can monitor any items sent for approval on your Monday board with our visual, color-coded **approval status column and approvers column (J)**.

### Deleting an approval round

If you want to delete an approval round, click the edit button placed at the bottom of the approver. Then, navigate to the three-dotted menu, and once selected, the **delete round (K)**option will appear.  
**Important:** For audit purposes, there will not be an option to delete an approval round once it's been approved.

# Re-request an approval on a item

Re-requesting approval after rejection is crucial to closing the approval process loop and can be helpful in many scenarios.

For example, imagine you're working on a brief for a new app feature that has been rejected during the approval process. In this scenario, you would need to address the feedback, make the necessary changes to the brief, and then resubmit it for approval before proceeding with any implementation. By re-requesting the approval, you can speed up the overall process, making it easier to move your project forward quickly.

Alternatively, you might want to be considered for attending an upcoming event where your initial request for approval has been declined. In this case, the re-request feature allows you to review any concerns, revise your submission, and quickly resubmit your request for reconsideration.

Submitting an item for review and approval using Approvals for monday.com is simple and efficient, and you can now re-request approvals.

The re-request feature enables you to restart the overall approval process on an approval round or re-request approval from a single approver.

## **Re-request an approval round**

To request approval again for a specific approval round, navigate to the **edit button (A)** under the approval round.

Now the approval will be re-requested and the round will automatically change to **pending review (C)** and the overall approval status will change to 'in review'.Simultaneously, all the reviewers will receive an in-app and email notification of their approval request.  
**Important:** If reviewers did not provide an approval decision for the original approval request, they will not receive a re-request approval notification when submitted.

### Re-request approval from a single reviewer

You can request approval once more from a single reviewer involved in the first approval round by hovering over the reviewer's approval decision to reveal the **re-request icon (D)**.

# Send subitems for review and approval

[Monday.com](http://monday.com/) is a great platform for managing various types of projects. However, as the number of project tasks grows, the main working space tends to get cluttered and disorganised due to the increasing number of items added to your Monday board.

With subitems, you can efficiently manage tasks associated with a main item, reducing the need to clutter your board with additional items.

For instance, suppose you're using your Monday board to manage all marketing initiatives for your team. It's important to keep the board organized and clear, so everyone can easily track the progress of each task. Some tasks may have sub-tasks, such as revamping a company website, which might include separate tasks like initial research, designing illustrations or writing text. As this task is relatively larger, it's crucial to use sub-items to organize the tasks included in the website revamp process. This way, your board stays organized, and each task is grouped together, minimizing the time spent searching for task progress updates.

In this guide, we will show you how to send subitems for review and approval using Approvals for [monday.com](http://monda.com/).

## **Adding Approvals to a subitem**

Open any subitem on your Monday board and navigate to the item view center by clicking the**'+' button (A)** at the top right corner of the subitem display window.

Once opened, click within the **installed apps (B)** menu on the left side. Once opened, Approvals will display along with other apps installed on your board.

Select **'add to item',** and Approvals will be added to your subitem **(C)**. Once you have added Approvals to your subitem, you will not need to repeat this process for existing or new subitems on your Monday board.

### **Approval status columns set up**

Before you send any subitems for review and approval, we recommend setting up our Approval status columns. This will help streamline your approval process to monitor any subitems sent for approval.

To add approval columns, navigate to the approval **settings (D)**within any subitem.

The approval settings will open. We recommend you create new columns for the**approval status and the approver's column (E)** within the settings list.

Once you have selected **'create new column'** , the approval status and approver columns will be added to your main monday.com board **(F)**.

Once the approval columns have been added, you can rename their titles. Start by clicking on the column title and renaming the text to**'approval status' and 'approvers' (G).**

Now that you have renamed the column titles, the next step is to customize the status labels, which will align with the Approvals workflow.

Start by clicking on any grey statuses in the approval status column. This will open the list of the default labels. To rename the labels, click on the **pen icon (H)**.

The display window will open, where you can rename the status label text. We recommend renaming the labels to the following;

* Not started

* Pending Review

* In Review

* Rejected

* Approved

Once you've done this, click **apply (I)**to update the status labels.

Once you've set up and added the status columns, there's no need to go through this process again for any new subitems. The approval status and approver columns will automatically apply to the new subitems.

### **Request an approval on a subitem**

To start the review process, access Approvals for [monday.com](http://monday.com/) within any subitem on your monday board. Then, add your approval by selecting the **approval round (J)**field.

Next, you can add your approvers or approval teams by using the **'+add approver' (L)**field. A drop-down box will display where you can select or search for your approvers or teams'.

It is very common for all companies in various industries to use some form of a single-stage approval process, whether this is conducted via email, Teams, or Slack. This process involves sending a task for review and approval without requiring multiple levels of approval.

Although you may think that this type of approval process does not require an online tool, it can become overwhelming over time if reviewers are sent multiple tasks to review. This can lead to miscommunication and cause delays in providing feedback or publishing the content.

With Approvals for monday.com, you can send tasks for a single stage approval process that will streamline your review process in one place where you can collect approval feedback and push tasks forward.

In this guide, we will walk through adding a single-stage approval process to any task item placed on your Monday board:

## Adding an approval

Once Approval is installed, you can start to use it straight away with no complicated process.

To start the review process, access Approvals for [monday.com](http://monday.com/) within any item on your monday board. Then, add your approval by selecting the **approval round (A)**field.

### Customizing the approval round

You will notice that the approval round has been added to the main Approvals for [monday.com](http://monday.com/) display window; this is visible in the screenshot below.

Now, you can easily rename the **Approval title (B)** from 'Approval round 1' to something more specific that reflects your review process, such as 'Marketing Team Review.' To do this, type your desired changes within the approval round title. Once you finish, your text modifications will be automatically saved.

### Adding your reviewers

Next, click on the**add approver section (C)** to add your reviewers to the approval round**.**A drop-down menu displays a list of individuals from your monday.com board. Select your reviewer, and the individual will appear in the approval round.

Now that you have added your reviewers, it's time to start the approval by selecting the **start button** . The approval will now be active, and the status will change to **pending review (D)**. Simultaneously, the reviewer will receive an in-app and email notification of their approval request.

### Deleting a reviewer

You can delete a reviewer from the approval round if their approval is still pending. To do this, click the **edit button (E)**to configure.

While hovering over the approver's name, right-click your mouse, and the **delete approver option (F)** will appear, allowing you to proceed with the removal.  
**Important:** For audit purposes, there will not be an option to delete an approval round once it's been approved.

This approval process is crucial, requiring collaboration among teams like marketing, design, or finance, following structured steps to gather feedback and approval. Sometimes, the method may even require simultaneous input and approval. However, managing these processes with online tools can be challenging, especially when aligning with existing approval workflows.

That's where Approvals for monday.com come in. You and your team can send any item to your Monday board through parallel or sequential approval processes. This promotes streamlined collaboration, reduces bottlenecks, and ensures timely stakeholder feedback.

In this guide, we'll walk you through how to send items on your Monday board through a parallel and sequential approval process.

## Pararell approval process

Let's explore an example of sending an item through two approval rounds to initiate a parallel approval process. During the process, the approvers or teams will receive the approval request simultaneously, ensuring efficient and time-consuming approval.

To start, navigate to Approvals within any item on your Monday board and add your first approval round by selecting the**add new round (A)** field.

You can start renaming the approval round title to be more specific to your review and add your reviewers by searching for individuals or approval teams in the **add approver (B)** section.

Once you have chosen your reviewers for the initial approval round, the same setup process will be utilized for the **second approval round.** By default, your approval rounds will be incorporated into a new **approval sequence** , displayed as a numbered menu on the left-hand side **(C).**

To run both approval rounds simultaneously, simply click on the second approval round and position it within the first approval sequence **(D).**

Now that both approval rounds are in place, select **start (E).** The approval rounds will be active, and the reviewers in both rounds will be notified of the approval request immediately.

### Sequential approval process

Next, let's set up a sequential approval process, meaning each round of approval happens in a structured order. In this example, we will send an item through four approval rounds, with each round starting only after the previous round has been actioned. This saves you from manually starting each approval round and frees up more time for you and your team to focus on other tasks.

Begin by clicking the 'Add New Round' button to add your approval. This action will immediately create your first approval round, along with a sequential process displayed as a numbered panel on the left side of the approval round**(F).**

Next, configure your approval round by renaming the approval round title to be more specific to your review. Then, select your approvers or approval teams from the **add approver section (G).**

## Monthly vs annual billing cycles

There are two billing cycles available for apps in the monday.com marketplace; monthly and annual. You can choose either of these for the [Approvals for monday.com](https://auth.monday.com/marketplace/listing/10000005/approvals) app.

### Monthly billing cycle

You will be charged on a monthly basis and this will be a recurring fee whilst the subscription remains active. The amount you pay each month will depend on your team size in monday.com as detailed in the **Pricing plans: Approvals for monday.com** section below.

If choosing a monthly plan, please note that you cannot choose the date you are charged for the subscription.  
If your monthly subscription billing fails to renew after a couple of attempts, you will automatically be enrolled back in the free version of Approvals.

### Annual billing cycle

The annual billing cycle allows you to pay for a full year of [Approvals for monday.com](https://auth.monday.com/marketplace/listing/10000005/approvals) in one upfront payment. This option also provides you with a slight discount on the overall cost of the Approvals app over one year.

# Using monday.com automations with Approvals

Automations in monday.com save teams valuable time by automating repetitive tasks, allowing for more productive work. When combined with Approvals, project management is elevated.

If your team spends too much time manually customizing actions in monday.com, automation is the solution. By automating specific actions on your board, project management and team collaboration are streamlined.

With so many automations availble, selecting the right one for your team can be overwhelming. To simplify this process, Approvals for [monday.com](http://monday.com/) offers ready-to-use automation templates.

In this guide, we'll demonstrate how to implement automation to move items to another board once they're approved.

## Adding automation template

To add the approval automation, navigate to **integrations** that you can find on your monday.com board. Once the display window has opened, scroll to featured apps where you find**approval automations (A)**under the app options.

This will open to display the five approval automation templates. Select the '*when the status changes to something move item to group* ' automation and select **add to board (B)**.

This will open the automation where you can select the status and the board to move approved or rejected items. Once configured, select **add to board (C).**

The automation will now be displayed under the**board integrations (D).** This will show all the active automation on your board, **which**you can disable or delete the automation.

# Tracking approval progress on your monday.com board

Managing multiple approvals on a daily basis can be a daunting task for teams, especially monitoring the status through different communication tools. While it is manageable when approving a single round of approval, it can become overwhelming when dealing with a multi-stage approval process.

For instance, imagine you are a member of a design team that is tasked with revamping a website for a client. As part of this job, there are various tasks that need to be completed and reviewed by team members. It would be helpful to have a centralized location where you can easily monitor the progress of each task. This would save you time that would otherwise be spent chasing team members for updates through lengthy email chains.

With Approval for monday.com, you can easily monitor all the items that have been sent for review directly from your monday.com board. In this guide, we will show you how to add approvals status and approvers columns to your main monday.com board.

## Adding approval columns

To add approval columns, navigate to the approval **settings (A)**within any item.

The approval settings will open, we recommend you create new columns for the**approval status and the approvers column (B)** within the settings list.

Once you have selected 'create new column' the approval status and approver columns will be added to your main monday.com board **(C)**.

### Customize the approval columns

#### Rename the column title

Once the approval columns have been added, you can go ahead and rename the title of the columns.

Start by clicking on the column title and rename the text to**'approval status' and 'approvers' (D).**

#### **Rename the status labels**

Now that you have renamed the column titles, the next step is to customize the status labels as this will align with the approvals workflow.

The first step will be to click on any one of the **grey statuses** on the approval status column. This will open the list of the default labels. Guide to the **pen icon (E)**, to rename the labels.

The display window will open, where you can start to rename the**status label text** . We recommend renaming the labels to 'in review', 'pending review', 'approved',and 'rejected.' Once done, click **apply (F)**to update the labels.

### Monitor approval progress

Now that your **approval columns (G)** have been added and the status labels have been renamed. You can now easily monitor all approvals that have been added to any item straight from your main board.

# Viewing Approval History

The ability to view the history of an approval workflow is essential, as it allows teams to seamlessly track progress, understand project developments, maintain a clear audit trail, and ensure accountability for more efficient decision-making.

Imagine a scenario where an employee requests a promotion that requires approval from their supervisor, department head, and HR director. The HR manager drafts the proposal and sends it to the relevant stakeholders. If a delay occurs, the HR manager can quickly view the approval history to identify the hold-up and review feedback. The HR manager can then make necessary changes and re-submit the proposal, allowing stakeholders to view the approval history. The feature ensures transparency and a smoother decision-making process.

Submitting an item for review and approval using [Approvals for monday.com](https://monday.com/marketplace/listing/10000005/approvals-for-mondaycom)is simple and efficient. During its lifecycle, approval decisions can be changed or requested, and our**approval history feature** helps view the history of an approval workflow.

In this guide, we will demonstrate how to view an item's approval history from both a reviewer and non-reviewer perspective.

## Viewing approval history as a non-reviewer

If you were not involved in an item's approval, you can still view the approval history of any approvers by clicking the**history** **button (A)** on the approval row.  
The **history button** will only appear if the approval has a history with comments and approval decisions.

A drop-down menu will appear, listing the approval decisions and comments on the approval **(B)**.

### Viewing approval history as a reviewer

To review the approval history of an approval you were involved in, click the **comment button (C)** next to the approval decision.

Within the drop menu, click the '**See history' button (D)** in the bottom left of the comment box.  
The **history button** will only appear if the approval has a history with comments and approval decisions.

# Applying a workflow to a board

The functionality of Workflows for Miro revolves around having workflows on boards. But first you need to apply one to your board! To do this you can follow these simple steps:

1. Open Miro and navigate to the board you wish to apply a workflow to.

2. Using the toolbar on the left, open the Workflows for Miro app. This requires you to have the [app installed](https://docs.appfox.io/workflows-for-miro/installation.md) in the relevant team.

3. Click the 'Add Workflow' button to begin the process.

4. If you don't have enough credits on your plan, contact your administrator or see how subscriptions work [here](https://docs.appfox.io/workflows-for-miro/subscription-billing.md).

5. Otherwise you will see a list of workflows to choose from as shown below.

6. Select a workflow from the list, choose whether to add the workflow to the whole board or a specific frame, and then click 'Next'. You can view the workflow steps by selecting a workflow and clicking 'View'.

7. This will open a modal allowing you to configure the workflow and confirm to apply it. You will always be asked to choose which board roles can transition the workflow. 8. Confirming at this point will consume one credit (unless you are on the unlimited plan) and apply the workflow to the board.

# Attaching a workflow to a frame

Within Miro, frames are a way to group and present content on your boards. This includes the ability to title frames, thus giving a name to a group of content. To learn more about frames see the Miro documentation [here](https://help.miro.com/hc/en-us/articles/360018261813-Frames).

With Workflows for Miro, frames are now also a way to apply a workflow to specific content on your board.

1. Open Miro and navigate to the board you wish to apply a workflow to.

2. If you don't already have a frame, use the Miro toolbar to add one and place the desired content within it. Optionally add a title to the frame which will be used to help identify the content and workflow.

3. Using the toolbar on the left, open the Workflows for Miro app. This requires you to have the [app installed](https://docs.appfox.io/workflows-for-miro/installation.md) in the relevant team.

4. Click the 'Add Workflow' button to begin the process.

10. Confirming at this point will consume one credit (unless you are on the unlimited plan) and apply the workflow to the board.

11. Done, the workflow is applied! Unless you unchecked the option, an app card will also be added to your board. It is suggested to place this near the relevant frame.

# Configuring an approval

Approval workflows let you request and track approvals on a Miro board. You can learn about applying workflows [here](https://docs.appfox.io/workflows-for-miro/applying-a-workflow-to-a-board.md).

When you choose to apply an approval workflow you will be able to configure the approval stage(s) in the confirmation modal.

For each approval stage you have two items to configure:

* **The list of approvers** - These users will be notified via email when the workflow enters this step. At that point, when they view the workflow, they will have the option to approve or reject it and include a comment. Learn more about [how approvals work](https://docs.appfox.io/workflows-for-miro/using-an-approval.md).

* **Amount of approvals required** - Either 'All' or a specific number. When an approval stage receives this number of approvals the workflow will transition to the next step. If the approval stage receives rejections such that it could no longer reach the desired amount of approvals the workflow will transition to a previous status denoted by the red line. If 'All' is selected, any rejections will reject the stage.

If some desired users are missing from the list of options to be approvers, ensure the board is [directly shared with them](https://help.miro.com/hc/en-us/articles/360017730813-Sharing-boards-and-inviting-collaborators). While sharing the board with a group allows members of that group to use the app, they can only be an approver if they have explicit access to the board.

Note that you cannot currently change the approval configuration once a workflow is applied. To do so you must remove the workflow and apply a new one.

# Features

## Simple Workflow

The 'Simple Workflow' allows you to track the status of a board. It includes the 'To Do', 'In Progress', and 'Done' statuses, allowing transitioning of the workflow in that order.

## Approvals

The 'Simple Approval Workflow' lets you track progress of a board as well as accepting approvals on it. It includes the 'To Do', 'In Progress', 'In Review', and 'Done' statuses, allowing transitions in that order.

The In Review status acts as an approval stage. You can configure the approval when adding the workflow to a board. This is when you choose who can approve the workflow and setting the number of approvals which are required to progress.

While in the In Review status, when the required amount of approvals have been made, the workflow will proceed to Done concluding the workflow. If the stage receives too many rejections so that the required amount of approvals can no longer be met, then the workflow will be rejected, sending it back to In Progress. From there it can be sent for review again to seek new approvals after you've made any changes to the board.

## Two-stage approval

The 'Two Stage Approval Workflow' lets you get two separate approvals for a board. It gives you the 'To Do', 'In Progress', 'First Review', 'Second Review', and 'Done' statuses, transitioning in that order.

These approval stages behave the same as the Simple Approval Workflow, with both of them returning the workflow to In Progress upon rejection. Each of the two stages can be configured separately upon adding the workflow. This lets you have a different list of approvers and even a different number of required approvals for each step.

## Workflow History

Workflows keeps a history of workflows applied to a board and events that happened within them. This is accessible via the 'History' button within the app. From here you can see the transitions that have occurred and details about them. It distinguishes between approvals/rejections and simple transitions, with the author for approval/rejection events being the last approval decision which caused the outcome. But in the case of approvals, you can also see the number of approvals and inspect the decisions and comments.

Accessing the history from a global workflow will show the history for global workflows. Looking at the history for the workflow on a frame will show all workflow history for that frame only.

## App Card

An app card is a small item you can add to a Miro board which is connected to an app. The Workflows for Miro app card shows a mini view of the workflow status, including approval details for an approval stage. This lets you easily see the workflow status without opening the main app panel.

To add the Workflows app card use the 'Add Workflow App Card' button within the app panel. Then you can position it anywhere on your board for easy viewing. You can add an app card for each workflow on your board. This means you can have a glance view of workflow status near the relevant items on your board.

Interacting with the app card will open a modal version of the app, allowing easier access than the Miro app toolbar. This modal view allows basic interaction with the workflow. To add, configure, or remove a workflow, you will still need to use the main app panel.

If some users are viewers or commenters on your board, it is strongly advised to add at least one app card to your board. This is because Miro hides the toolbar from such users, meaning they cannot access the app panel and instead must rely on the app card modal.

## Configure permissions

To apply a workflow to a board, you must be at least an editor on the board.

However, when applying a workflow you get to choose who is able to transition the workflow. You can also change this setting later by choosing to 'Configure Workflow'.  
You can allow viewers and commenters to transition a workflow in this way. However, such users are not presented with the app toolbar by Miro. To allow these users to interact with the workflow you can add an app card to the board. This shows a glance view of the workflow status and interacting with it will open the modal view of the app, which is accessible to viewers and commenters.

Separate from this setting, approval workflows let you configure the approvers for each stage. This means that even users who don't have permission to transition the workflow could be chosen as approvers, allowing you to customise the behaviour for your organisation.

# Installation

You will need to install Workflows for Miro from the [Miro Marketplace](https://miro.com/marketplace/). If you are not familiar with the Marketplace, this is a collection of apps available for Miro and which add powerful functionality.

## Miro Marketplace

Once you are within the [Miro App Marketplace](https://miro.com/marketplace/), search for 'Workflows' and the app will appear. Select 'Workflows for Miro' and click 'Connect' which will begin the installation flow. From here, select the team you wish to install the app in.  
Billing is done per organisation, but installation of the app is done per team.
