Approvals for monday.com: Update to usage model January 2025

We are introducing a significant update to our app, Approvals for monday.com. These changes are designed to simplify our usage structure and improve accessibility to the app's full suite of powerful features. The updated usage model will be in effect from January 15, 2025.

NB: This change will not affect existing users on the Pro plan, who are currently paying for Approvals for monday.com, but will mean some changes for Free plan users and new users.

Overview of the changes

To enhance accessibility, unlock more functionality for all users and simplify our billing model, we’re introducing the following updates:

  1. Approval-based usage: Usage will now be based on how many approval processes you are permitted to apply per month, rather than the number of approvers.

  2. More functionality: All features will become available across the free tier and all paid subscription tiers. This includes powerful features previously only available to paid users, such as Default Approvals for whenever a new item is added to your board.

  3. Streamlined subscription tiers: We are simplifying our subscription structure by reducing the paid plans from seven to three, while retaining the free tier. This change aims to provide clearer and simpler usage options to our users.

  4. Updated billing: The revised model reflects the transition to an approval-based structure that better aligns with the value delivered across all subscription tiers.

When does the change take effect?

The new usage model is in effect from the 15th of January 2025. From this date forward, all previously paid-only features will become available to all users, and the revised structure will apply to all new and Free plan users:

  • New users: Users who upgrade to a paid subscription plan after the date of the change, will be billed according to the updated usage structure.

  • Free plan users: Users on the free plan will now have full access to all approval features. In the free tier, they will, by default, have access to a maximum allocation of three approval rounds to spend per month, which refreshes monthly.

  • Existing subscription users: The price of your plan will remain unchanged, and you will effectively transition into the new Unlimited approval based tier with all your current benefits intact.

Why are we making these changes?

We are committed to continuously improving Approvals for monday.com, and over the past year, we’ve introduced significant enhancements to simplify and optimize your approval process in monday.com. To reflect these improvements, we’re transitioning to an approval-based usage model, aligning the billing structure with usage. This shift simplifies the process while offering greater flexibility and value for all users.

  • Simplified and Transparent: The transition to an approval based model reduces complexity, ensuring that all users, regardless of their tier, can access the full suite of features, including previously paid-only features.

  • Increased Value: By consolidating seven pricing tiers into three, we’re providing a more efficient, cost effective experience, enhancing overall usability for all users.

  • Ongoing Innovation: As part of our commitment to continuous improvement, we’ve added new improved features to the app

FAQs

To help you better understand the upcoming changes and how they may affect your subscription, we've outlined some key details below:

  1. What happens if I exceed the approval limit? If you exceed the approval limit, it will reset monthly, or you can upgrade your subscription to access a higher approval limit.

  2. What happens to unused approvals within a given month? Unused approvals will not carry over to the next month. Your approval limit will reset at the end of each month.

  3. Will I be notified once the approval limit has been reached? Yes, you will not be able to create new approvals in the app, and you will be informed that the limit has been reached.

  4. How can I track the approval usage? There is a new dashboard widget that will tell you how many approvals you have and how many have been used; this will be visible when creating a new approval process.

  5. Can I purchase additional approvals without upgrading my plan? There is currently no option to purchase additional approvals with your plan. The approval limit will refresh at the end of the month, or you can upgrade your current subscription plan.

Next Steps

  • For Existing Pro Plan Users: No immediate action is required unless you wish to cancel and start a new subscription.
