Managing Content Approvals in a Marketing team

Olivia works as a Marketing Assistant in a small team where she only reports to her line manager.

One of her main responsibilities is to write and publish a number of blogs on the company website every month. To manage the entire content writing and publication process, Olivia uses monday.com alongside her team.

Use case

Once the initial research has been completed and the draft blog copy is ready, Olivia needs to send this to her line manager for review and approval before it can be published on the website.

Before using Approvals for monday.com, Olivia had to manage the review and approval process through emails and messages in Slack. As you can imagine, it was a nightmare!

Emails were frequently missed, feedback was buried within messages, and the process was time-consuming and frustrating for everyone involved.

She has the goal of publishing five blog articles monthly. Therefore, Olivia will track her progress in the marketing board within monday.com, where she will send her blogs for review using a single-step approval round.

Olivia has created three blogs that are in review, and she is sending another article for review using a single approval round. By Olivia creating a single approval, she is able to notify her line manager that her article is ready to be reviewed.

Olivia publishes each article within a certain timeframe, and she ensures she sends content to her line manager a week before publishing. Olivia could do this manually by sending her content through teams or emailing her line manager. However, this is not efficient as it can be time-consuming to switch between different applications.

To be efficient, Olivia uses Approvals to quickly set up an approval round (A) to send her blog for review.

Olivia has finished one of her articles, and after some final checks, she is ready to send this to her line manager before it can be published. As she is working towards a certain publishing date, she does not have time to communicate this to her line manager as it might prolong the process.

Olivia configures the approval round (B) to add her manager and rename the approval title.

The approval is now in progress, and Olivia’s line manager will be notified of the approval with automated in-app (C) and email notifications. Olivia does not need to spend time messaging her manager to notify them of the approval, and she can focus on more important tasks.

Olivia’s manager rejected the article that was sent for review but has left approval feedback (D) for Olivia to make improvements before the article is sent back for review. This is efficient as she doesn’t need to use other applications to gather feedback from her manager.

In a short period of time, Olivia was able to quickly set up a new approval and view approval feedback to make changes to one of her blogs. By Olivia and her manager integrating approvals for monday.com within their board, they were able to be efficient in completing tasks within a certain time frame.
